Entering Property in Multiple Listing Service Database

78. Prepare MLS Profile Sheet -- Agents is responsible for "quality control" & accuracy of listing data.
79. Enter property data from Profile Sheet into MLS Listing Database.
80. Proofread MLS database listing for accuracy - including proper placement in mapping function.
81. Add property to company's Active Listings list.
82. Provide seller with signed copies of Listing Agreement & MLS Profile Sheet Data Form within 48 hours.
83. Take additional photos for upload into MLS & use in flyers. Discuss efficacy of panoramic photography.

Marketing the Listing

84. Create print & Internet ads with seller's input.
85. Coordinate showings with owners, tenants, & other Realtors. Return all calls – weekends included.
86. Install electronic lock box if authorized by owner. Program with agreed-upon showing time windows.

114. Contact buyers' agents to review buyer's qualifications & discuss offer.

131. Review buyer's credit report results -- Advise seller of worst & best case scenarios.
132. Provide credit report information to seller if property will be seller-financed.
133. Assist buyer with obtaining financing, if applicable & follow-up as necessary.
134. Coordinate with lender on Discount Points being locked in with dates.
135. Deliver unrecorded property information to buyer.
136. Order septic system inspection, if applicable.
137. Receive & review septic system report-assess any possible impact on sale
138. Deliver copy of septic system inspection report lender & buyer.
139. Deliver Well Flow Test Report copies to lender & buyer .
140. Verify termite inspection ordered if required.
141. Verify mold inspection ordered, if required.

Tracking the Loan Process

142. Confirm Verifications of Deposit has Been Returned.
143. Follow Loan Processing Through To The Underwriter.
144. Add lender & other vendors to transaction management program so agents, buyer & seller can track progress of sale.
145. Contact lender weekly to ensure processing is on track.
146. Relay final approval of buyer's loan application to seller.

Home Inspection

147. Coordinate buyer's professional home inspection with seller.
148. Review home inspector's report.
149. Enter completion into transaction management tracking software program.
150. Explain seller's responsibilities with respect to loan limits & interpret any clauses in the contract.
151. Ensure seller's compliance with Home Inspection Clause requirements.
152. Recommend or assist seller with identifying & negotiating with trustworthy contractors to perform any required repairs.
153. Negotiate payment & oversee completion of all required repairs on seller's behalf, if needed.

The Appraisal

155. Schedule Appraisal.
156. Provide comparable sales used in market pricing to Appraiser.
157. Follow-Up On Appraisal.
158. Enter completion into transaction management program.
159. Assist seller in questioning appraisal report if it seems too low.

Closing Preparations & Duties

160. Contract Is Signed By All Parties.

177. Review documents with closing agent (attorney).
178. Provide earnest money deposit check from escrow account to closing agent.
179. Coordinate this closing with seller's next purchase & resolve any timing problems.
180. Have a "no surprises" closing so that seller receives a net proceeds check at closing.
181. Refer sellers to one of the best agents at their destination, if applicable.
182. Change MLS status to Sold. Enter sale date, price, selling broker & agent's ID numbers, etc.
183. Close out listing in transaction management program.

Follow Up After Closing

184. Answer questions about filing claims with Home Owner Warranty company if requested.
185. Attempt to clarify & resolve any conflicts about repairs if buyer is not satisfied.
186. Respond to any follow-on calls & provide any additional information required from office files.

Real Estate Contracts >Deadlines

Both buyer and seller should be aware of all of the deadlines in their purchase agreement. Each contract is different, but there are usually time limits covering the structural contingency, the financing application, the loan commitment, and the closing.

If you are a careless buyer, you could lose your right to ask a seller to pay for needed repairs. There may be a limit on the time the seller has to respond to the buyer's request to complete repairs that are not required by the contract. Failure to apply for your mortgage on time may place your deposit at risk if the loan is denied. In many cases, the agreement can be declared null and void by the seller if financing is not approved within the time frame set forth in the contract. A delayed closing can cost the sellers money, and they may ask the buyer to reimburse these expenses.

Work closely with your real estate agent to ensure that all of your transaction deadlines are met.
